Who We Are

This website is run by Sasquatch Ice Sports, LLC, doing business as Cloudcroft Ice Skating and the James Sewell Ice Rink (“we”, “us”). This policy covers cloudcrofticeskating.com and the information you give us through it.

The Short Version

• We only collect what you type into our forms, and we use it to run your visit, your waiver, your registration or your request.
• Card payments happen on Square’s secure checkout. Your card number never touches our website.
• We send marketing emails or text messages only if you check the box asking for them, and you can stop anytime.
• We do not sell your personal information.
• This website sets no cookies and uses no analytics or advertising trackers.

What We Collect

We collect information only when you fill out a form. Fields marked required on a form are needed to complete that request; everything else is optional.

• Ticket waivers (before buying a public skating, Stick & Puck or program ticket): the skater’s or participant’s name, the name of the person signing, your email, the session you picked, your agreement to the waiver, a USA Hockey number where a program needs one, and whether you’d like event emails.
• Program registration: the program and session, number of skaters, participant’s first and last name, date of birth, email, phone, parent or guardian name (if under 18), hometown, and — for hockey — previous team, position, shoots/catches, height, weight and USA Hockey number; your waiver agreement; and whether you’d like event emails and texts.
• Birthday party requests: your name, email, phone, package, preferred date, number of guests, notes, and your acknowledgment of the party policy.
• Contact and figure skating questions: your name, email and message.
• Coach, referee and volunteer interest: your name, email, role, phone, USA Hockey number (coaches and referees) and a note about your experience.
• Program early sign-up list: your name, email, phone and the program you’re most interested in.
• Rink news sign-up: your email address.

Payment details. When you buy a ticket you leave our site for Square’s checkout. Square collects your card and billing details directly; we never see or store your full card number. Square handles that information under Square’s privacy notice.

Technical information. Like any website, our web host processes basic technical information — such as your IP address and browser type — to deliver pages and protect the site from abuse. We don’t use it to profile or track you.

How We Use It

• Tickets and check-in — to match your waiver to your ticket and know who is skating which session.
• Waivers and safety — to keep a record that the participant (or their parent or guardian) accepted the Assumption of Risk and Release, for liability and legal purposes.
• Program registration — to place participants in the right program, confirm eligibility (such as USA Hockey membership) and contact you about the program.
• Answering you — to reply to questions, party requests and coach/referee/volunteer interest.
• Updates you asked for — to send event, schedule and program news by email or text, only if you checked the box asking for it.

Text Messages

Text messages are only offered on program registration, where you give a phone number. If you check that box, you agree to receive recurring marketing and event text messages from Cloudcroft Ice Skating at that number.

• Consent is not a condition of any purchase.
• Message frequency varies. Message and data rates may apply.
• Reply STOP to opt out at any time. Reply HELP for help, or email info@iceskatecloudcroft.com.
• We do not share or sell your phone number or text-message consent to anyone for their own marketing.

Who Handles Your Information

We share information only with the service providers that help us run the rink, and only so they can do that job for us:

• Netlify hosts this website and receives and stores what you submit through our forms; our staff receive submissions by email.
• Square processes ticket payments on its own secure checkout.
• Our internal ticketing system receives your waiver submission and keeps only the skater names, the signer and the session, so we can match the waiver to your ticket; it discards your email and device details.

We may also disclose information if the law requires it, to protect the safety of our guests and staff, or as part of a sale or transfer of the business. We do not sell your personal information, and we do not share it with others for their own advertising.

Children

Many of our skaters are kids. Waivers and program registrations for a minor are completed by a parent or guardian, who provides the child’s information (such as name and date of birth) on the child’s behalf.

This website is not directed to children under 13, and we do not knowingly collect personal information from a child under 13 without a parent or guardian. If you believe a child has sent us information without a parent’s involvement, email us and we will delete it.

Cookies and Tracking

This website does not set cookies and does not use analytics, advertising or social-media tracking tools. Two things come from other companies:

• The map on our Visit page is embedded from Google Maps, and Google may set its own cookies when it loads.
• Square’s checkout pages are run by Square and may use their own cookies.

Those companies’ own privacy policies apply to them. You can block or clear their cookies in your browser settings.

How Long We Keep It

• Waivers are kept for as long as we need them for liability, insurance and legal reasons.
• Everything else — questions, party requests, registrations and sign-ups — is kept until it is no longer needed for the reason you gave it to us, or until you ask us to delete it.
• Email and text lists keep your contact details until you ask us to remove you or reply STOP.

Keeping It Safe

The whole site runs over an encrypted (HTTPS) connection, forms are protected against spam, card payments are handled only by Square, and access to submitted information is limited to the staff who need it. No system is perfectly secure, but we take reasonable steps to protect what you share with us.

Your Choices

• Stop marketing — email info@iceskatecloudcroft.com and we'll take you off our list, or reply STOP to any text.
• See, correct or delete your information — email info@iceskatecloudcroft.com with your name and the email or phone you used. We’ll confirm the request is yours and respond promptly.

Some records — such as signed waivers and payment records — may need to be kept for legal or liability reasons even after a deletion request. If so, we’ll tell you.

Changes and Questions
